Work hours - 11:00 AM to 8:00 PM IST

Workdays - Monday to Friday

Experience - 5+ years in accounting and finance operations

Qualification - B.Com / M.Com + CA Inter / CMA Inter

Purpose of the role

You will be the day-to-day owner of the client's books. You run the accounting cycle end to end — transactions, reconciliations, close, reporting packs and the rolling cash flow forecast — so that Manager — Finance, can focus on review, technical judgement, controls and the client relationship.

This is a hands-on execution role on a single client. You are accountable for accuracy, completeness, timeliness and audit-ready documentation.

Key responsibilities

  • Accounting and bookkeeping operations
  • Maintain the general ledger in QuickBooks Online on a timely and accurate basis.
  • Process accounts payable end to end: vendor bill entry, coding, duplicate checks, vendor master maintenance and preparation of payment runs for approval.
  • Process accounts receivable end to end: customer invoicing, cash application, collection follow-up tracker and escalation of overdue accounts.
  • Perform bank and credit card reconciliations and resolve open and ageing reconciling items.
  • Classify transactions correctly by account, division and class, and clear unclassified items before close.
  • Maintain the document repository so that every material entry has supporting documentation attached and retrievable.
  • Prepare balance sheet account schedules and supporting reconciliations for review.
  • Monthly and year-end close
  • Execute the monthly close calendar and deliver each step on the agreed date.
  • Prepare recurring journals, accruals, prepaid amortisation, deferrals and other period-end entries.
  • Prepare month-on-month variance data and flag unusual movements before review.
  • Draft the monthly Profit & Loss, Balance Sheet and Cash Flow Statement.
  • Prepare year-end schedules and the supporting information pack for the client's external CPA.
  • Keep books organised and review-ready for tax, lender, investor or other professional examination at any point in the year.
  • Cash flow and treasury
  • Maintain and update the rolling 13-week cash flow forecast on a weekly cycle.
  • Track cash inflows and collections, operating and vendor payments, and expected cash requirements.
  • Report the daily or weekly bank position and flag near-term cash gaps early.
  • Maintain forecast-to-actual tracking so forecast accuracy improves over time.
  • Division-wise accounting and reporting
  • Maintain the QuickBooks Online class and location structure that separates the two business divisions.
  • Apply the agreed shared-cost allocation methodology consistently each month.
  • Produce division-wise revenue, direct and operating cost, profitability and cash generation reporting.
  • Keep the division mapping clean as new accounts, customers and vendors are added.
  • Management reporting
  • Compile the monthly reporting pack: P&L, Balance Sheet, Cash Flow Statement, AR ageing, AP ageing and division-wise performance.
  • Prepare the supporting analysis and data that sits behind the commentary.
  • Respond to routine information requests from the client within the agreed turnaround.
  • Process and controls
  • Operate the agreed finance controls over expenses, payments, billing, collections and record keeping, and retain the evidence.
  • Draft and keep current the standard operating procedures and process notes for every task you run.
  • Identify manual or error-prone steps and propose automation or simplification.
  • Payroll and tax coordination
  • Post and reconcile payroll journals from the client's payroll processor.
  • Prepare the accounting information and schedules required by the client's CPA, payroll processor and other external professionals.
  • Coordinate on queries and follow-ups under the Manager's direction.

Must-have Qualifications And Experience

  • Minimum 5 years of hands-on accounting and finance operations experience.
  • B.Com, M.Com, MBA (Finance), CA Inter or CMA Inter.
  • Demonstrated experience running a full monthly close cycle independently — not just one part of it.
  • Working knowledge of US accounting practice and US GAAP fundamentals, gained through a US client, US shared services centre, or a KPO or outsourced accounting firm serving US clients.
  • Practical, current working experience on QuickBooks Online.
  • Strong Excel: pivot tables, lookups, SUMIFS, reconciliation workbooks, and building a forecast model that someone else can follow.
  • Proven ownership of both AP and AR cycles, and of bank and credit card reconciliations.
  • Clear written and spoken English, sufficient for direct email and call contact with a US client.
  • Comfortable working the 11:00 AM – 8:00 PM IST shift from the Kolkata office.

Preferred

  • Experience with class, location or department-level accounting — segment, division or cost-centre reporting.
  • Experience coordinating with an external CPA, auditor or lender.
  • Familiarity with tools around QuickBooks: Bill.com, ADP or similar.
  • Any automation exposure — advanced Excel, Power Query, or workflow tools.
