Production Merchandiser

Job Description:

1. Sourcing & Costing

Assist in identifying and shortlisting fabric, trim and accessory vendors.

Collect and organise vendor quotations, lead times and minimum order quantities (MOQs).

Maintain and update the vendor database and fabric/trim library.

Evaluate product costing and understand its impact on product quality, margins and net sales

from design through production release.

2. Product Development & Sampling

Coordinate sample requests, including proto, fit and pre-production (PP) samples, and track

turnaround times with vendors.

Maintain and update tech packs, bills of materials (BOMs) and specification sheets after each fit

or review round.

Follow up with vendors on development queries and consolidate feedback from Design and

Merchandising teams.

Coordinate with Product Development, Design and Merchandising to ensure products meet

requirements and reflect market needs.

Conduct market visits to understand trends, competitor products and own-brand performance,

and prepare relevant reports.

3. SAP & Order Management

Create, update and track orders in SAP, ensuring accurate maintenance of purchase orders,

material codes, style details and order quantities.

Maintain accurate BOMs and production data in SAP.

Ensure purchase orders and order confirmations align with agreed specifications, quantities and

delivery dates.

Generate SAP reports covering order status, inventory and production updates.

Ensure timely system updates, accurate data entry and consistent maintenance of order-related

records.

4. Production Planning & Coordination

Track production timelines and critical paths (TNA) across multiple styles and vendors, flagging

potential delays early.

Follow up with vendors on raw material deliveries, including fabrics and trims, against the

production calendar.

Track order execution, sample progress and production requirements to ensure timely deliveries.

Coordinate with Product Development, Sourcing, Production, Warehouse and Logistics teams to

ensure smooth order processing and shipment schedules.

Maintain style-wise order sheets, production records and shipment documentation.

Proactively follow up on pending actions and track timelines from development through final

shipment.

5. Quality Control

Support pre-production, in-line and final quality inspection schedules.

Assist with basic quality checks at vendor facilities or upon arrival of goods, as required.

Record and track quality issues and defects, and follow up with vendors on corrective actions.

Help maintain quality control checklists and related documentation.

6. Retail & Market Coordination

Collaborate with the team in planning sell-ins and preparing catalogues.

Conduct market visits to understand consumer trends, competitor products and own-brand

performance.

Work with internal teams to ensure product development and production requirements align

with market needs.

7. Reporting & Stakeholder Management

Prepare regular status reports and trackers covering sourcing, development, production and

quality control for the Production Manager.

Maintain accurate style-wise records and documentation, and generate reports to provide

visibility on order status, inventory and production timelines.

Coordinate with vendors, factories and internal stakeholders to resolve queries and address

delays.

Participate in vendor and factory visits as required.

Take on additional responsibilities as capabilities grow, with the opportunity to independently

manage select style groups or vendors.
