Location: India

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Associate Travel & Expense based in India.

As an Associate Travel & Expense, you will play a key role in managing financial operations related to employee expenses, corporate cards, and supplier data. You will oversee the administration of SAP Concur, ensuring accurate expense reimbursements, effective workflow management, and compliance with internal policies. Working across Travel & Expense, Accounts Payable, and Procure-to-Pay functions, you will help maintain strong financial controls and reliable operational processes. You will collaborate with employees, business stakeholders, and external service providers to resolve issues and improve the overall user experience. Through detailed reporting, data validation, and process optimisation, you will contribute to financial accuracy and operational efficiency. This opportunity is ideal for an experienced finance professional who enjoys combining system administration, analytical problem-solving, and stakeholder support in a collaborative, international environment.

Accountabilities

  • Travel & Expense Platform Administration: Manage and maintain the SAP Concur Travel & Expense platform, including audit rule configuration, user administration, workflow maintenance, and routine system support to ensure reliable and efficient operations.
  • Expense Auditing and Compliance: Review and audit employee expense reports in SAP Concur to verify compliance with travel policies, expense guidelines, and internal financial controls. Identify discrepancies, investigate exceptions, and ensure accurate and timely reimbursement processing.
  • Corporate Card Administration: Manage the corporate card programme, including card issuance, ordering, deactivation, and monitoring of overdue balances. Ensure appropriate card usage and compliance with established policies and procedures.
  • Workflow and Transaction Management: Monitor Concur workflows, including unassigned and unapproved transactions, and coordinate necessary follow-ups to ensure timely processing. Support month-end activities by preparing accrual reports and monitoring outstanding expenses.
  • Vendor Master Data Management: Create, update, and maintain supplier records in SAP, ensuring the accuracy, completeness, and integrity of vendor information and supporting documentation.
  • Supplier Documentation Validation: Review and validate supplier documentation, including tax forms, banking details, and other required records, before creating or modifying vendor master data.
  • Issue Resolution and Stakeholder Support: Investigate and resolve complex travel expense, corporate card, and vendor data inquiries. Collaborate with employees, Accounts Payable, purchasing teams, business stakeholders, and external suppliers to address discrepancies and implement effective solutions.
  • External Service Provider Coordination: Work with SAP Concur support teams, corporate card providers, and travel service partners to resolve technical issues, improve service delivery, and maintain efficient operational processes.
  • Financial Reporting and Analysis: Prepare and analyse weekly and monthly operational reports for management. Monitor key performance indicators, identify trends, and provide accurate information to support decision-making and process improvement.
  • Internal Controls and Financial Governance: Support the execution of internal controls across expense processing, corporate card administration, and vendor master maintenance. Maintain appropriate documentation and ensure adherence to financial governance requirements.
  • Employee Training and Guidance: Provide training and onboarding support for new employees using the expense management platform. Assist existing employees with system queries, expense policies, and workflow-related questions.
  • Process Improvement: Identify opportunities to improve expense management, supplier data maintenance, reporting accuracy, and workflow efficiency. Support standardisation and continuous improvement initiatives across finance operations.
  • Requirements

  • Education: A bachelor's degree in Accounting, Finance, Business Administration, or a related discipline.
  • Professional Experience: Ideally 5–8 years of relevant experience in Travel & Expense management, Accounts Payable, Vendor Master Data, Finance Operations, or Procure-to-Pay processes, preferably within a shared services centre or multinational organisation.
  • SAP Concur Expertise: Strong functional and technical knowledge of SAP Concur Expense administration, expense auditing, workflow management, user support, and corporate card programme operations.
  • SAP ERP Knowledge: Practical experience with SAP ERP or SAP S/4HANA, particularly vendor master data creation, maintenance, validation, and supplier information management.
  • Travel and Expense Compliance: Strong understanding of travel and expense policies, reimbursement procedures, corporate card controls, expense compliance requirements, and financial governance practices.
  • Vendor Master Data Management: Experience validating supplier documentation, maintaining accurate vendor records, reviewing banking and tax information, and resolving supplier data discrepancies.
  • Financial Operations Knowledge: Familiarity with Accounts Payable, Procure-to-Pay workflows, month-end closing activities, accrual reporting, reconciliations, and operational reporting.
  • Advanced Excel Skills: Proficiency in Microsoft Excel, including PivotTables, XLOOKUP/VLOOKUP, data analysis, reporting, and reconciliation of large datasets.
  • Analytical and Problem-Solving Skills: Strong attention to detail and the ability to investigate exceptions, identify root causes, analyse financial data, and resolve operational issues efficiently.
  • Communication and Customer Service: Excellent written and verbal communication skills, with the ability to support employees, respond to queries, explain policies, and coordinate effectively with internal and external stakeholders.
  • Training and Stakeholder Management: Ability to guide users, deliver system training, manage stakeholder expectations, and maintain productive working relationships across multiple departments.
  • Organisation and Time Management: Demonstrated ability to manage competing priorities, meet deadlines, handle multiple requests, and maintain accuracy in a fast-paced financial operations environment.
  • Continuous Improvement Mindset: Proactive approach to identifying process inefficiencies, strengthening controls, improving reporting quality, and enhancing the overall employee and supplier experience.
  • Preferred Qualifications: Professional certifications or additional coursework in Accounting, Finance, ERP systems, or Procure-to-Pay processes are advantageous.
